This privacy policy is based on the European Regulation RGPD (EU) 2016/679 which came into force on 25 May 2018.
The mission of the Fondation Autisme Luxembourg (FAL) is to ensure comprehensive and consistent care for people with autism in Luxembourg. The support and well-being of these people are at the heart of our concerns. At the heart of this mission is our commitment to transparency regarding the data we collect about you and how it is used, both internally and with third parties with whom we share it.
The Fondation Autisme Luxembourg (FAL) attaches great importance to the protection of your personal data. This confidentiality policy applies whenever you make use of our services or activities, receive our publications or take part in our events as a beneficiary, volunteer, job or apprenticeship applicant, client, donor or whether you are an intern, apprentice or employee.

You are a volunteer at the Fondation Autisme Luxembourg
As a volunteer, you are required to provide us with your personal data. The purpose of this notice is to inform you of the use FAL makes of your personal data and of the rights you have.
Why do we collect and process your data?
We process your personal data as part of the management of volunteers, which includes the recruitment and selection of profiles, the administrative management of volunteers, the possible payment of travel expenses as provided for in the volunteer agreement, the management of relations with insurance organisations, the management of your training courses in which you participate, managing physical access to the premises and electronic access to FAL's IT systems, planning your volunteering activities and monitoring the time invested as a volunteer for statistical purposes, as well as recognising years of commitment and issuing attestations and certificates.
This data is processed securely as part of the execution of the volunteer agreement or on the basis of FAL's legitimate interests.
What type of data is collected?
FAL uses SalesForce software to manage its volunteers. In addition to the personal data that you voluntarily communicate to us through the information that you enter, your curriculum vitae, your covering letter or any other document in support of your application may be collected during the phase of drawing up the volunteer agreement. The data collected is:
- identification details (surname, first name, date and birthplace);
- contact details (postal address, telephone number, email address);
- data concerning your qualifications, your professional experience and your current professional situation;
- the usernames of your social network accounts;
- the times and days you are available and your preferences for volunteering sites and tasks;
- means of travel;
- emergency contact details;
- your character traits and swimming skills;
- your diet;
- the other data mentioned in the curriculum vitae, covering letter and any other information provided at the time of application (photograph, language skills, etc.);
- a copy of your identity card, a copy of your social security card, a copy of your rescue certificate;
- a copy of your diplomas, a copy of your driving licence, a copy of your first aid certificate;
- your bank account number;
- an extract from your criminal record;
- any agreements or disagreements you communicate to us (publication of photos, etc.).
Certain health data may have an impact on the tasks you are required to perform. If you voluntarily provide us with certain personal data relating to your state of health (diabetes, allergies, depression, illnesses, disabilities, etc.), it will be recorded in our database. This data will not be passed on to third parties, and we are therefore not obliged to monitor your health situation (food intake, medication, vaccination reminders, etc.).
On the other hand, if you take part in our holiday trips, we do ask you for three health details:
- health problems;
- contraindication to medication;
- allergies;
How long is your data kept?
At the end of the recruitment process, the personal data of unsuccessful candidates will be destroyed directly.
The data will be kept for as long as is necessary for you to carry out your voluntary work or to support people with autism. Your data will be kept for 24 months after the end of the volunteering agreement, after which it will be destroyed.
Who do we share your data with?
FAL treats your data confidentially and only shares it with third parties where necessary and in accordance with the law. To this end, only authorized persons in the internal departments involved in the recruitment process will have access to your personal data, in strict compliance with their duties and for the purposes set out above. Third parties may include organizations where we carry out an activity for which we need the help of volunteers or where we are housed and these entities need your details as part of their building security measures, as well as service providers, particularly in the context of IT outsourcing. In the latter case, we ensure that your data remains within the European Union.
Can your details be published?
Your first name and photo may be published in our internal and external communications if you have given us express permission to do so.

You are a client of the Fondation Autisme Luxembourg
Customer is any person who
- orders one or more products made by people with autism in our day activities department workshops.
- registers for a training course you have provided us with certain personal data.

As a client, the FAL will send you an invoice containing your personal details.
In order to guarantee correct payment for goods and services provided, FAL requires personal data.
Why do we collect and process your data?
We process your personal data as part of managing your order/registration/contract.
Once we have received your purchase request, we will send you an order form in which we will also collect the personal data required to process your order.
On this order form, you also have the option of ticking the box "I would like to receive the FAL periodical DIFF FAL". Subject to your consent, the FAL periodical will be sent to you either by post or electronically.
You may revoke your wish to receive our periodical at any time. We will respect your wishes on simple request and your details will be removed from the distribution list. To do this, simply notify us of your withdrawal by telephone on 26 91 11 - 1 or by e-mail to communications@fal.lu, marked "unsubscribed".
What type of data is collected?
In accordance with the law, FAL only collects the personal data required to process the order/registration/contract.
In order to draw up the invoices for your purchase and to send the purchase, the personal data surname and first name, postal address, e-mail address and/or telephone number are requested and saved.
In order to draw up and send invoices for your enrollment in a training course, the personal data surname and first name, postal address, e-mail address and/or telephone number are requested and saved. If a snack is provided, food preferences and any intolerances are requested and saved.
For the execution of orders placed by FAL with its suppliers and subcontractors (natural persons), we also require the data necessary to process the order: surname and first name, postal address, e-mail address and/or telephone number; in addition, we also require the financial data essential for the payment of invoices (IBAN account number and BIC code).
In order to draw up the invoices for a service relating to the supervision of a person with ASD, the personal data surname and first name, postal address, e-mail address and/or telephone number are requested and saved.
How long is your data kept?
The data collected is kept for as long as is necessary to achieve the purposes set out above. In accordance with legal requirements, the data required for accounting purposes (including the underlying documents) must be kept for a period of 10 years.
To whom do we pass on your data?
Under no circumstances do we pass on your details to other charities or to companies that want to contact you. You will therefore not be contacted by a third party organization or company following your purchase from FAL.
FAL treats your data with the utmost confidentiality, both within the foundation and externally. We only share data with third parties outside the FAL when this is technically essential for the proper execution of your order and always in compliance with legal requirements. These third parties may include our subcontractors, IT service providers or public authorities.
Your data is stored exclusively within the European Union.

You are a donor to the Fondation Autisme Luxembourg
As part of your donation, your financial intermediary (bank) has provided us with personal data. We attach great importance to the protection of your personal data, which is why it is important for us to inform you about the use FAL makes of it and the rights you have.
Why do we collect and process your data?
FAL, in its capacity as data controller, processes your data for the purposes of canvassing and administering donations.
Following receipt of a donation, we send a letter of thanks to the donor, which also serves as a tax certificate. In the interests of transparency, we also keep our donors regularly informed of our activities (DIFF FAL newsletter) and occasionally invite them to continue supporting our projects or to make a permanent donation. Your support is vital if we are to fulfil our mission to help vulnerable people.
When you make a donation in response to a general appeal, known as a "direct mailing", you consent to your details being used to keep you up to date with developments at the Foundation and to invite you from time to time to continue to support us through donations. You can withdraw this consent at any time by telephone on 26 91 11 - 1 or by email at communications@fal.lu.
What types of data do we collect?
FAL uses Espadon software for canvassing and administering donations. Your personal data is processed on the basis of performance for the sending of your tax certificate and the legitimate interest for the sending of our periodical (DIFF FAL) providing information to the public to promote the integration of people with autism in all educational, socio-cultural and professional fields as mentioned among the objects of our Foundation. Your first name, surname, address, e-mail address, bank details in the case of a bank transfer, the date of the donation and the amount of the donation are collected.
However, if you no longer wish to receive information and/or invitations to make donations by name from the FAL, we will respect this on simple request. Persons who have expressly asked to receive our periodical in electronic form may unsubscribe at any time by replying to the e-mail received with the word "unsubscribed".
How long is your data kept?
Your data is kept for as long as is necessary to achieve the objectives set out above and for no longer than the period stipulated by law (10 years).
Who do we pass on your details to?
In accordance with the commitments made within the framework of the "Don en Confiance" label to which FAL adheres, we do not pass on your details to other charitable organizations or to companies wishing to approach you. You will therefore not be contacted by a third party organization following your donation to FAL.

As a candidate for employment or an internship, you are required to provide us with your personal data so that we can process your application in the best possible conditions. The purpose of this notice is to inform you of the use made of your personal data and of the rights you have.
Why do we collect and process your data?
Your personal data is collected and processed as part of the recruitment process:
- for the purposes of managing and monitoring applications, selecting and interviewing candidates, and responding to candidates;

What type of data is collected?
FAL uses the CVWarehouse software to keep track of its applications and traineeship requests. By uploading your application file to this software, you consent to the data contained in your application file being processed accordingly. In addition to the personal data that you voluntarily communicate to us through the information that you enter, your curriculum vitae, your covering letter or any other document in support of your application may be collected when the employment/apprenticeship/internship contract is drawn up. The data collected is mainly:
- identification details (surname, first name, date and place of birth) ;
- contact details (postal address, telephone number, email address);
- details of your skills, qualifications and professional experience (copies of diplomas, skills certificates, training certificates);
- the other data mentioned in the curriculum vitae, covering letter and any other information provided at the time of application (photograph, language skills, etc.);
- bulletins 3, 4 and 5 of the criminal record (the bulletins required may vary depending on the vacancy);
- Details of your current or previous employment (a work certificate from your previous employer(s));
- Salary slips from previous employers;
- for certain positions, a certificate of registration and/or a copy of your license to practice or a copy of your work permit.
We do not process your health data for recruitment purposes. However, if you voluntarily submit certain personal data relating to your state of health (diabetes, allergies, depression, disabilities, etc.), this will only be recorded at your express request and only if it could have an impact on the tasks you are required to perform. These data will not be systematically transmitted to the multi-sector occupational health service and their transmission therefore does not commit us to any follow-up of your health situation (e.g. vaccination reminders, etc.).
How long is your data kept?
At the end of the recruitment process, the personal data of unsuccessful candidates will be kept by us for a maximum period of 6 months from the last contact with the candidate and on the basis of a legitimate interest for FAL. The personal data of successful candidates will be kept for the legally required period. The requested criminal records will be destroyed immediately.

- Request agreement for the name to be mentioned on our website and for photos of you to be published as part of our activities.
Other data may be generated or collected during your relationship with the FAL such as your internal identifier, information regarding your working hours, your career development, bank transfers.
How long is your data kept?
Your data is kept for the necessary period and at most for the period provided for by law (3 years after the end of our relationship for certain data).
Who do we communicate your data to?
The FAL treats your data confidentially and only shares it with third parties when necessary and in accordance with the law. To this end, only authorized persons from internal departments involved in the recruitment process will be able to access your personal data, in strict compliance with their missions and for the achievement of the aforementioned purposes. Third parties may include competent administrations and authorities, such as the Joint Social Security Center or the Administration of Direct Contributions, as well as service providers, particularly in the context of IT subcontracting. In the latter case, we ensure that your data remains within the European Union.

Embedded Facebook Plug-Ins
